KaanBook Privacy Policy

KaanBook is an invoicing and bookkeeping app for small businesses. This policy explains what information the app handles, where it is kept, and the choices you have. In short: your business records stay on your phone. We do not run a server that receives your books, and the app contains no advertising, analytics or tracking.

1.Information kept on your phone

Everything you enter — your business profile, customers and suppliers (names, phone numbers, email addresses, GSTINs, addresses), items, invoices, estimates, payments, expenses and settings — is stored in a database inside the app on your device. It is not sent to Kvcodes Software Solutions. It is protected by your phone’s app sandbox; anyone with full access to your unlocked device could read it, so keep a screen lock on your phone.

2.Signing in

  • Google: Google shares your name, email address and profile picture with the app so it can show who is signed in. The app asks Google for this once at sign-in and keeps it on your phone. Google’s own privacy policy applies to your Google account.
  • Email and password: the account is created and checked on your phone only. Your password is stored as a one-way hash (PBKDF2), never as plain text, and is not sent anywhere.

3.Device permissions

  • Camera: scanning item barcodes, photographing bills and taking a photo of your logo. Bill text is read on the phone; photos are not uploaded.
  • Photos / files: choosing a logo or a bill photo, and importing a CSV file you select.
  • Notifications: due-date, low-stock and GST return reminders, scheduled on your phone.

You can refuse or withdraw any permission in Android settings; the rest of the app keeps working.

4.When information leaves your phone

Only when you choose to send it:

  • Sharing invoices and receipts: when you tap WhatsApp, Email, SMS or Share, the app opens that app with the message or PDF ready. What you then send is handled by that app and its provider.
  • UPI payments: invoices can show a UPI QR code and link containing your UPI ID and the amount. A customer who scans it pays through their own UPI app; KaanBook does not process payments.
  • Backups: a backup file is created only when you ask for one, and saved wherever you choose.
  • TamilAccounting (optional): if you choose to upgrade to or connect with TamilAccounting ERP, the app sends your business details and records (customers, items, invoices, payments) to TamilAccounting servers (my.tamilaccounting.com) so they can be kept in sync, and TamilAccounting may email you a verification code. This happens only after you start that step; TamilAccounting’s terms and privacy policy then apply to the data held there.

5.What we do not do

  • No advertising, analytics, crash-reporting or tracking software is included in the app.
  • We do not sell, rent or share your information.
  • We do not collect your location or contacts list.

6.Keeping and deleting your data

Your data stays on your phone until you delete it. Uninstalling KaanBook, or clearing its storage in Android settings, permanently removes the books from the phone — take a backup first if you want to keep them. Data you sent to TamilAccounting can be deleted by contacting TamilAccounting.

7.Children

KaanBook is a business tool for adults and is not directed at children under 18.

8.Changes

If this policy changes, the new version will be posted on this page with a new effective date.
